Person Specification – Membership & Database Officer

Essential Criteria

Qualifications & Experience

  • A degree in a relevant discipline, or equivalent experience within a membership‑focused environment.
  • Demonstrated experience using CRM or database systems to support membership operations, improve data accuracy, and generate meaningful insights.
  • Experience delivering high‑quality administrative and customer service support.

Skills & Knowledge

  • Strong proficiency across Microsoft 365 applications, including Word, Excel, PowerPoint, Teams, OneDrive, and Copilot.
  • Excellent written and verbal communication skills, with a high standard of spoken and written English.
  • Strong organisational skills, with the ability to manage priorities, meet deadlines, and work efficiently under pressure.
  • Ability to work independently, using initiative to take ownership of tasks and projects.
  • Comfortable working collaboratively within a small, dynamic team.
  • Confident engaging with individuals at all levels, including colleagues, Trustees, external partners, and members.

Desirable Criteria

Experience

  • Experience working in a customer‑focused role.
  • Previous experience in a membership‑based organisation, particularly in roles involving member engagement or operational delivery.
  • Practical experience using membership databases, ideally CiviCRM.
  • Experience supporting digital communications such as newsletters, automated messages, or member alerts.
  • Experience producing internal documentation such as SOPs, process guides, or training materials.

Skills & Knowledge

  • Strong data‑analysis skills, with the ability to interpret, present, and segment membership data for reporting or programme development.
  • Understanding of GDPR and data‑protection best practice relating to membership records and CRM use.
  • Ability to collaborate effectively with technical and non‑technical stakeholders.
  • Awareness of finance‑related processes such as income reconciliation, payment tracking, or Direct Debit administration (advantageous but not essential).
