Person Specification – Membership & Database Officer
Essential Criteria
Qualifications & Experience
- A degree in a relevant discipline, or equivalent experience within a membership‑focused environment.
- Demonstrated experience using CRM or database systems to support membership operations, improve data accuracy, and generate meaningful insights.
- Experience delivering high‑quality administrative and customer service support.
Skills & Knowledge
- Strong proficiency across Microsoft 365 applications, including Word, Excel, PowerPoint, Teams, OneDrive, and Copilot.
- Excellent written and verbal communication skills, with a high standard of spoken and written English.
- Strong organisational skills, with the ability to manage priorities, meet deadlines, and work efficiently under pressure.
- Ability to work independently, using initiative to take ownership of tasks and projects.
- Comfortable working collaboratively within a small, dynamic team.
- Confident engaging with individuals at all levels, including colleagues, Trustees, external partners, and members.
Desirable Criteria
Experience
- Experience working in a customer‑focused role.
- Previous experience in a membership‑based organisation, particularly in roles involving member engagement or operational delivery.
- Practical experience using membership databases, ideally CiviCRM.
- Experience supporting digital communications such as newsletters, automated messages, or member alerts.
- Experience producing internal documentation such as SOPs, process guides, or training materials.
Skills & Knowledge
- Strong data‑analysis skills, with the ability to interpret, present, and segment membership data for reporting or programme development.
- Understanding of GDPR and data‑protection best practice relating to membership records and CRM use.
- Ability to collaborate effectively with technical and non‑technical stakeholders.
- Awareness of finance‑related processes such as income reconciliation, payment tracking, or Direct Debit administration (advantageous but not essential).
